Clients, vendors and rates
Clients
Clients → Add client creates a client account with billing details, currency, payment terms and contacts. A client's page shows its projects, quotes, invoices, statement and price profiles.
Providers (vendors)
The Providers list can be searched, filtered by status, availability, source or target language and specialisation, and sorted by any column, however many vendors you have.
Providers → Add provider creates a vendor: a freelancer or a company. Record their language pairs, specialisations, availability and status. Only active providers are offered work, and the language pairs decide who appears when you offer a job.
A vendor you invite to the portal can accept work, deliver and submit invoices from their own login.
Vendor applications
Let linguists and agencies apply to work with you through a public link:
- Providers → Vendor applications → Switch on application link, then Copy link and put it on your website or in a recruitment email.
- Applicants enter their details, language pairs, specialisations, tools, rates and a CV (PDF or Word, up to 10 MB, virus-scanned), and agree to you storing them. They don't need an account.
- New applications appear in the list for review, and the organisation owner is notified. Download the CV, add a note, then Approve (an active provider), Add as prospect, or Decline.
- If the applicant's email already belongs to one of your providers, the application is marked already a provider: Link to provider fills in only details that provider record is missing, and adds the CV to their documents.
New link replaces the link (the old one stops working); Switch off closes applications.
Custom fields
Track your own details on clients, vendors and projects: Settings → Client custom fields, Vendor custom fields and Project custom fields. Each field has a label and a type: text, number, date, a choice from a list, or yes/no. The fields then appear on every client's, vendor's or project's page, and values are checked against their type when you save.
Records imported from XTRF also show their XTRF custom fields, read-only, under Imported from XTRF.
Price profiles and rates
Rates live in price profiles. A profile belongs to a client (what you charge), a provider (what you pay) or the whole organisation (your defaults), and has one currency.
Each rate rule in a profile sets a price for a job type (translation, revision…) and a unit (source word, hour, page…), optionally for one language pair and specialisation, with an optional minimum charge and start/end dates. When LanguageOps needs a price it picks the most specific rule that applies: client or provider profile first, then the organisation default.
CAT grids (match-band discounts)
Word rates can carry a CAT grid: the percentage of the rate charged for each match band of a file analysis.
| Band | Typical use |
|---|---|
| Context match, Repetitions | Often charged at a low percentage |
| 100% | Exact memory matches |
| 95–99%, 85–94%, 75–84%, 50–74% | Fuzzy matches |
| No match | Usually 100% |
Bands you leave empty are charged at 100%.
A client's or vendor's page lists all the rate rules in their profiles in one table you can search, filter by profile, job type and language, and sort, however long the rate card is.
The Rates tab
Rates lists every rule across all profiles. Search, filter by client or provider, profile, job type, unit or language, sort by a column, and page through large rate cards (tens of thousands of rules are fine). Export page CSV downloads the rows on screen.
