Interpreting

Book interpreters on site, by video or by phone, offer the booking to interpreters, and bill it when it's done. Interpreting is in the advanced view.

Booking a session

On a project, Interpreting → + Book interpreting:

  • what it's for, the mode (on site, video or phone) and type (consecutive, simultaneous, whispered, liaison, sign language);
  • the languages, start and end time, and the time zone where the session happens;
  • for on-site work: the venue, address, on-site contact, number of attendees, and any travel time and travel expenses to bill;
  • for remote work: the meeting link or dial-in;
  • a briefing for the interpreter.

Each session gets a reference such as INT-2026-00007, and an Interpreting job appears in the project's Jobs card. Offer it to interpreters or assign one there, the same as for any job.

After the session

Complete… asks when the session actually started and ended, then adds the charges to the project ledger, by the hour (rounded up to the quarter hour):

  • the client is charged at least the booked time, plus any overrun, at their interpreting rate. If the rate has a minimum charge, short sessions are billed at the minimum;
  • the interpreter's cost is added the same way at their rate;
  • travel time is billed at the same hourly rate, and travel expenses as a fixed amount.

If no interpreting rate is found for the client or the interpreter, the session still completes and you're told which rate is missing.

Cancellations

Cancel… shows the fee before you confirm, based on your cancellation policy (on the Interpreting tab). For example, with the default:

CancelledFee
48 hours or more beforefree
24 to 48 hours before50% of the booking
Less than 24 hours before100%

The fee is charged to the client and, if an interpreter was already assigned, paid to them at the same percentage. Cancelled sessions keep their history.

Calendars

The Interpreting tab lists every booking across projects. Download calendar (.ics) imports them into Outlook, Google Calendar or Apple Calendar. Interpreters see their confirmed bookings in the vendor portal's Interpreting tab, with venue, join link and briefing, and can add them to their own calendar.
