Jobs and vendor offers

Jobs

A project's workflow creates one job per stage and language pair (for example Translation en → fr, then Revision en → fr). Jobs appear on the project page, where you set their status and vendor. In simple view, jobs are hidden.

Offering a job to vendors

Instead of picking one vendor, you can offer a job to several and let them answer.

  1. On a job that nobody has accepted, click Offer….
  2. LanguageOps lists the active vendors who cover the job's language pair, best first: available vendors, then your private score, then the lowest rate. Each row shows the vendor's rate for the job.
  3. Tick the vendors to offer, and choose how:
    • Everyone at once, first to accept: all vendors get the offer; the first to accept gets the job.
    • One at a time, in order: the first vendor you ticked gets the offer; if they decline or don't answer in time, it moves to the next.
  4. Choose the time to answer (1 hour to 2 days) and what happens when someone accepts: draft their purchase order for you to review (the default), issue it straight away, or don't create one. Add an optional message and click Send offer. The job shows as Offered.

Vendors with a portal login are notified and answer in the portal. For a vendor without a login, call or email them, then click Accepted or Declined in the offer window.

Offering several jobs at once

To offer one stage in every target language in one go, click Offer jobs… in the project's Jobs card. Each job that nobody has accepted is listed with the vendors who cover its language pair, and the best three available vendors are already ticked. Untick a job to leave it out, adjust the vendors, choose the shared settings, and send. Each job gets its own offer round; if one can't be offered (for example it already has an open round), the others still go out and the problem is listed.

What happens next

  • When a vendor accepts, they are assigned and the job becomes Accepted. The other offers are withdrawn.
  • Their purchase order is raised from the job's payable lines if it has any; otherwise from the project's file analysis for that language, priced with the vendor's own rate and CAT grid. If neither is available (no rate for the vendor, or no analysis), the offer window says so and you create the PO from the project as usual. If two vendors accept at the same moment, only the first gets the job; the other is told it was taken.
  • Vendors who haven't answered get one reminder halfway through the window.
  • If nobody accepts, the job goes back to Not started and you get a notification, so you can offer it again or assign someone directly.
  • Cancel round withdraws all open offers.

Purchase orders

New PO on a project creates a purchase order for a vendor from the project's payable lines. Approve & issue sends it. Vendors invoice against approved work from their portal, and their bills appear under Finance for review.
